mObywatel confirms your identity, it is not an invoicing app
mObywatel is a free state app used to confirm identity across Polish public e-services. In KSeF it plays exactly that role: it proves it's you and lets you into the panel.
It works through login.gov.pl and the National Electronic Identification Node (Krajowy Węzeł Identyfikacji Elektronicznej), the same infrastructure you already use for the Tax Office e-services.
One distinction matters: there is no mobile KSeF app for invoicing. mObywatel logs you in, and you still issue invoices in the browser-based KSeF Taxpayer Application (Aplikacja Podatnika) or in your own invoicing software.
How to log in to KSeF with mObywatel, step by step
Following the Ministry of Digital Affairs instructions (gov.pl):
Go to ksef.podatki.gov.pl and click "Log in to KSeF".
Choose to log in via login.gov.pl.
Enter the entity identifier, meaning the NIP (Polish tax ID) of the company you are logging in on behalf of.
Pick mObywatel from the authentication methods.
Scan the on-screen QR code with your phone and confirm data sharing in the app.
The whole flow is usually faster than logging in through Profil Zaufany (Trusted Profile) with an SMS code. You start in a browser, on a computer or a phone, and mObywatel is only there to approve the action.
What mObywatel will not do in KSeF
Three things are worth knowing before you assume the phone handles all of KSeF:
You can't issue or download an invoice from the app itself. mObywatel handles login only.
Having the app is not enough. You need permissions granted in KSeF for that specific NIP. Without an owner role or a proxy authorization you can log in, but you won't be able to act on the company's behalf.
It is not a channel for system integration. Software that connects to KSeF via the API uses a KSeF certificate or a token, not mObywatel.
mObywatel versus the other KSeF login methods
KSeF has its own authentication methods plus methods available through login.gov.pl. In practice:
Method What it's for Who it suits mObywatel logging into the panel from a phone manual, mobile login Profil Zaufany logging into the panel manual login e-dowód / online banking login via login.gov.pl manual, alternative KSeF certificate authentication, including API software, bureaus, high volume KSeF token API authentication system integrations
Per the Ministry of Finance instruction, KSeF's native methods are a signature or seal using a KSeF certificate, plus a token. Profil Zaufany, e-dowód, online banking and mObywatel all run through login.gov.pl (source).
When you don't need your phone at all
Here's the honest part. mObywatel makes sense if you log into the government panel manually. If you use invoicing software integrated with KSeF, you connect to the system once, with a certificate or Profil Zaufany, and then work inside the software. You don't log in to ksef.podatki.gov.pl daily at all.
In Biurko you connect the company to KSeF via Profil Zaufany or a certificate, and sending sales invoices, importing cost invoices, and tracking document statuses all happen in the Biurko panel. mObywatel simply never enters that loop.
And the reverse is just as honest: if you issue a handful of invoices a month and don't mind logging in manually, mObywatel plus the free Taxpayer Application may be all you need, with no extra software.
Before you log in with mObywatel
Install the current mObywatel app (Android or iOS) and activate your profile.
Check that you have permissions granted in KSeF for the right NIP.
Have the NIP of the entity you're logging in for ready.
Always start from ksef.podatki.gov.pl, never from links in emails (watch for phishing).
If you invoice through software, ask whether you need manual login at all.
Summary
mObywatel genuinely shortens the KSeF login and takes SMS codes off your plate. Just remember it's a login method, not a way to issue invoices, and that it runs in a browser rather than a separate KSeF app.
If you'd rather not log into the government panel every day, connect your company once and work in one place. Try Biurko free for 14 days at biurko.io and see what KSeF looks like without the manual login.
