Як вибрати програму для KSeF у 2026 році?

Why this decision is getting urgent

Most companies picked their KSeF tool under deadline pressure in early 2026. The usual choice was whatever was already in place: an existing invoicing system that had just added a "send to KSeF" button. For a few months that works, because you are issuing simple sales invoices and KSeF accepts them.

The gaps show up later. The first credit note. The first Ministry-side outage. The first month where a foreign-currency invoice needs the right National Bank of Poland rate. That is when you find out whether the vendor built the whole path or only the happy path.

For groups with a Polish subsidiary there is an extra wrinkle: the decision usually sits between a global ERP rollout and a local Polish tool, and the two answer these questions very differently. Here is what to ask either of them.

1. Token or KSeF certificate?

This is a technical question with a very practical consequence. Under the law as it currently stands, tokens and KSeF certificates run in parallel until 31 December 2026, after which certificates are the remaining method (KSeF 2.0 Handbook, Part I).

One caveat worth tracking: during 2026 the Ministry of Finance signalled that keeping tokens permanently is one of the options raised by the market. That is a proposal, not enacted law. Plan against the statute, keep an eye on the proposal.

If your vendor only supports token-based authentication, you are scheduling a migration for the worst possible week of the year. Ask directly whether the product can request a KSeF certificate, authenticate with it, and store the private key encrypted at rest.

There is a second point that matters for foreign-owned entities: a company whose board members hold no Polish NIP or PESEL cannot simply use a Polish trusted profile. Certificates registered via the ZAW-FA form are the route here, and not every tool supports that path. Ask before you assume.

2. Does it receive invoices, or only send them?

This is the most commonly skipped half of the implementation. The obligation to receive structured invoices applied to every business from 1 February 2026, regardless of when your issuing obligation started.

A supplier invoice lands in KSeF and stays there. Nobody emails you a copy. If your tool only sends, then somebody on your finance team is pulling costs manually from the Ministry's taxpayer application once a month, and your accounts payable process depends on them remembering.

Ask about automatic inbound pulls, date-range filtering, and what happens to duplicates when an import is re-run.

3. What happens when KSeF is down?

Polish law distinguishes two scenarios, and treating them as one is a genuine compliance risk.

  • Offline24 mode: you issue outside the system and transmit to KSeF no later than the next business day.

  • Emergency mode (declared by the Ministry of Finance): the transmission deadline is 7 business days from the end of the outage.

There is also a detail that catches out a surprising number of implementations. An invoice issued offline carries two QR codes: one to verify the invoice in KSeF, and one confirming the issuer's identity using an offline (type 2) certificate. A single QR code on the printout means half the requirement was built.

Ask whether the deadline is calculated in business days or in flat hours. An invoice issued offline on a Friday evening does not have the same deadline as a naive "24 hours" implementation would suggest.

4. Will you understand the rejection message?

KSeF rejects documents with a code and a message written for a machine. The difference between a tool that surfaces the raw code and one that says "the buyer's tax ID fails checksum validation" is the difference between five minutes and an escalation to your Polish accountant.

Also check that the product distinguishes invoice rejection from system unavailability. The first means the invoice was never issued and needs correcting. The second triggers offline procedure. A tool that shows both as the same red banner leaves a compliance decision to guesswork.

5. Does it handle your actual document types?

A plain VAT invoice is the easy case. Check what you really issue:

The last row matters disproportionately for foreign-owned entities, because a manual rate entry is where intercompany invoicing quietly goes wrong.

6. Who is tracking the PLN 10,000 threshold?

Until 31 December 2026, taxpayers whose total gross invoiced sales in a given month stay under PLN 10,000 may issue electronic or paper invoices outside KSeF.

Two things are easy to miss:

  1. Only invoices covered by the KSeF obligation count toward the threshold. Consumer sales and cash-register receipts do not.

  2. Exceeding the threshold even once ends the deferral permanently, not just for that month.

That means someone has to track the running total mid-month, before you issue the invoice that crosses it. If the software does not surface this, it lives in a spreadsheet, and a spreadsheet will not warn you at the moment of issuing.

7. What do permissions look like with more than one person?

For a one-person business this barely matters. For a subsidiary with a controller, a sales team and an external accounting office, it matters a lot.

Check whether permissions are granted per operation rather than through a blunt admin-versus-user split. Can a junior issue an invoice but not transmit it to KSeF? Can your external accountant switch between entity contexts without a separate login per company? Is there an audit log showing who transmitted which document and when?

Groups with several Polish entities usually discover this on the third company, when "one account per entity" turns into a spreadsheet of passwords.

8. How do you get out?

The least-asked question. KSeF stores structured invoices for 10 years, but that does not discharge your own accounting and evidentiary obligations, or your group's audit requirements.

Ask about export: full XML, UPO (the official confirmation of receipt), and registers in a format another system can ingest. Does the export cover attachments and correction history? Is there an API if you later consolidate invoicing into a group platform?

A vendor that answers this concretely is usually a vendor that does not need to hold customers by friction.

Where each option genuinely wins

There is no single best KSeF tool, only a fit.

  • A single Polish sole proprietorship with a handful of invoices: local all-in-one products such as inFakt or wFirma do this well and bundle bookkeeping.

  • A large entity already on an ERP: if the group runs Comarch, SAP or similar, integrating through the existing system usually beats bolting on another tool.

Pre-decision checklist

  1. Ask for a demo on your data, not the vendor's sample invoice.

  2. Issue a correction and see whether the tool guides the process or hands you a blank form.

  3. Ask to see an offline invoice printout and count the QR codes.

  4. Confirm inbound purchase invoices appear, not just outbound sends.

  5. Ask about KSeF certificates explicitly, not "authentication" in general.

  6. Ask where in the interface you can see running sales against the PLN 10,000 threshold.

  7. Test the data export before paying for a year.

  8. Check there is a human who understands KSeF behind the support form.

What KSeF software should a Polish subsidiary of a foreign group use?

It depends on whether the group ERP already covers Polish structured invoicing. If it does not, a local tool with multi-entity support and English-language access is usually faster to deploy than an ERP extension, and easier to hand to a Polish accounting office.

Does KSeF software need to support offline mode?
